Descrição da Vaga: Job Description:The Associate Registrar, in partnership with the Registrar and their Associate Registrar colleagues, professionally designs, intentionally cultivates, and continually improves an environment of learning, integrity, team unity, and excellence. The Associate Registrar mentors and professionally develops employees reporting directly and indirectly to them as well as other employees reporting to other Associate Registrars. This employee has stewardship for the delivery of specific scalable services and operational functions as assigned or reassigned by the Registrar.The Associate Registrar represents the interests and needs of all BYU-Pathway students, matriculated and non-matriculated, as they relate to the academic and administrative processes, policies, functions, and services for which the Registrar has stewardship. As designated, the Associate Registrar speaks for and represents the Registrar, and thereby the organization, in both internal and external meetings, discussions, analysis, and decisions.The Associate Registrar is responsible to strengthen, improve, and automate where possible operations within BYU-Pathway Worldwide Student Services, especially as they relate to enrollment, student records, registration, student success, systems, and exceptions.Responsibilities:Protect the institution and its students through delivery and assigned stewardshipExpected Standards: Proactively identify, implement, or resolve current and upcoming opportunities, risks, and challenges.

  • Represent the Registrar and department in meetings as assigned and within established span of authority
  • Serve as a core member of the Registrar leadership team
  • Assist in the development, execution, and maintenance of department strategic plans
  • Align and integrate institution objectives and initiatives with operational work
  • Identify and raise issues impacting the institution; resolve those specific issues to assigned area of stewardship
  • Mitigate risk to the institution, partners, and stakeholders through compliance with FERPA and established higher education standards and best practices
  • Ensure the stability and integrity of the institution’s student information system
  • Fulfill various assignments and projects within established parameters and by designated deadlines
  • Establish positive and productive relationships with institution departments and partner departments
  • Serve on internal and external counsels and committees as approved or assigned by the Registrar
  • Support other Associate Registrars in duties requiring additional input or collaboration

Ensure accurate and compliant delivery of scalable operational servicesExpected Standards: Establish an environment of continuous quality improvement. Develop and maintain a thorough understanding of applicable academic and administrative processes, policies, and regulations. Identify and implement methods to create efficiencies and simplify the student experience. Develop strategies and processes that apply principles of scalability and automation doing more with minimal full-time resources. Understand, anticipate, and prepare for changes in policies or other factors that could affect operations and processes.

  • Develop and maintain professional relationships with IT personnel and serve as the primary liaison between department and IT partners with regard to student system needs and institution system initiatives under the stewardship of the Registrar
  • Ensure system accuracy, stability, and standards are established and followed
  • Participate in testing system updates to identify errors and impacts; ensure resolution
  • Provide oversight and support in implementing, maintaining, and improving the student record system; identify and assess recommended improvements to the student information and other student systems
  • Research and understand the connection of work, processes, and systems usage among assigned functionality; know how decisions intersect and impact other institution and partner functionalities
  • Ensure that policies, processes, and systems serve the needs of all students within the BYU-Pathway eco-system
  • Develop the ability to understand and apply the intent of office and institutional policies to specific issues; assist employees in applying policies to non-standard situations
  • Provide support in implementing and improving processes within each area of responsibility
  • Assist employees in developing, gathering, and reporting applicable metrics that verify the unit’s contribution to the team, Institution, and partner’s missions
  • Continually communicate and report on individual issues and cumulative information regarding assigned responsibilities; become skilled at appropriately escalating issues and problems to the Registrar
  • Deliver professional and accurate communication related to the work of each functional area; obtain necessary approvals before the delivery of all communication and outreach
  • Ensure the work of the assigned units is accurately completed within established deadlines and timelines

Provide leadership and subject matter expertise for FERPA compliance and records accessExpected Standards: Become a subject matter expert on FERPA regulations and their application internally to Pathway. Provide leadership for subpoenas and other records requests in alignment with FERPA.

  • Become an expert in the application and training of FERPA compliance
  • Provide leadership in responding to subpoenas and other records requests
  • Demonstrate quality communication skills in working with legal counsel and other stakeholders
  • Deliver critical problem-solving and resolution to FERPA violations

  • Assist in the design, cultivation, and continual improvement of the BYU-Pathway culture
  • Conduct regular one-on-one training and feedback sessions with reporting employees

Note: Responsibilities may change according to department needs as determined by managerQualifications:Education:

  • Bachelor’s degree

Experience: 3-5 years of experience in the following:

  • Experience leading a team
  • Experience solving problems and managing projects/programs
  • Higher education administration or public management experience preferred

An equivalent combination of work experience and education will also be considered.Skills:
